Team Assistant - Youth and Children`s / International Licensing  (up to £27,000)

About the role

As a Team Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our Youth and Children’s and International Licensing Divisions (including UK Top Gear ).  The Team Assistant will be responsible for assisting with general administration and being a central point of contact for both divisions.

The role involves working closely with the Youth & Children's leadership, publishing, buying and editorial teams. You will be providing administrative support to the leadership team, ensuring the smooth operation of the departments and their office environments, managing our customer service operation and providing support to the various teams. Additionally, you will also support the International Licensing department by providing various administrative support to the team.

As a Team Assistant you will;

  • Provide comprehensive administrative support to senior staff, including managing schedules, organising meetings, and handling correspondence.
  • Maintain a tidy office environment and manage all magazine samples and correspondence, organising and filing weekly
  • Manage our customer service support channels, ensuring a high level of service for our readers
  • Manage purchase orders and invoices, ensuring timely processing
  • Coordinate travel arrangements for department staff
  • Be the day-to-day contact for all the various internal and external interfaces that the role demands
  • Handle confidential information with discretion and professionalism
  • Support the teams with various ad-hoc tasks and projects as required

Requirements

  • Proven experience as a team assistant or in a similar administrative role. 
  • Have a positive outlook, wants to join in and enjoy work. Friendly and upbeat.    
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 
  • High level of discretion and confidentiality. 
  • Good planner and organiser. Organises work and resources to meet deadlines.   
  • Enjoys working hard. Full of energy for the things you see as challenging. Seizes more opportunity than others.   
  • Relate well to all kinds of people within and outside the company. Builds rapport easily. Builds constructive and effective relationships.  
  • Work as part of a team to achieve common goals through shared ambition, communication and collaboration. Actively contributes to the team, understands team goals. Supports other team members and knows when to ask for help
